A key task within Employee Relations is taking care of all joiners, leavers and contracts/contractual changes and the subsequent HR actions coming out of these. This role reports to the HR Administration Manager.

- Responsible for the end to end process of the Employment Contracts and Freelancer Agreements, Letters, Adendums and Extension
- Requesting the approval of the issue of the contract and the action form signed from the BUM/Hiring Manager.
- Responsible for drafting of employment letters, contracts, contract addendums, freelancer contract extensions.
- Responsible for any related follow up and other requried actions in the process up to the point that the the employee/freelancer signs the contract.
- Negotiate with the new comer if necessary together with the BUM & Recruiter.
- Responsible for sending out the Task Email to all departments, and related HR follow-ups.
- Responsible for collecting Hiring Manager approval and issuing the Contract Change Notice (CNN) to freelancers.
- Work closely with the HR Administrator on the set up and maintenance of employee/freelancers files and related HR database activity, including filing and archiving.
- Managing contractual templates and keeping them up to date, making suggestions for changes and highlighting legal compliance issues.
- Compile regular HR reports related to joiner activity for Management, or as needed.
- Leading the process for new joiner inductions, ensuring HR colleagues are scheduled to run them in turn with yourself, they have the most up-to-date presentations.
- Manage and triage the HR inbox (and, when rolled out, the HR Ticketing System).
- Provide support and inputs to the ERP and other HR tools.
- Contribute to the implementation, management and administration of the existing HR processes. Make suggestions for the development and update of current and new policies and procedures. Assist in the development of HR policies and procedures for consistency, compliance and efficiency.
- Support key Employee Relations HR projects as and when required.
- Work with the rest of the HR team to ensure smooth and regular communications with employees in all regions.
- Ensuring holiday/leave cover for the role is properly trained and briefed to carry out the tasks.
- Support general administrative duties that will assist in the day-to-day operations of the HR Department (task emails, onboarding and offboarding related tasks, time reporting, work permits, new hire formalities, etc.) as required.
- You have a Bachelor’s degree in Human Resources or related Business discipline or equivalent experience.
- You have a minimum of 3+ years’ working experience in Human Resources generalist environment with a leaning to employee contracts OR have worked within an in house recruitment team in a role specifically responsible for raising new joiner paperwork and related activity.
- You have excellent computer software knowledge, including database applications, ERP and spreadsheet applications to produce various reports.
- You are fluent in English and French (spoken and written), additional European languages are a bonus but not essential.
- You are able to handle sensitive situations and maintain a high degree of confidentiality.
- You have strong verbal and written communication skills.
- You are self-directed, proactive and have a strong attention to detail.
- You are flexible and are a team player.
- You have excellent communication skills, including the ability to respond effectively to questions from groups of employees and managers alike.
